1. Scope of this notice
This notice describes how HDChroma handles information collected through this website, through sample submissions, and in the course of providing analytical services. It does not alter the terms of any signed confidentiality or services agreement, which take precedence where they conflict.
2. Information we collect
Contact information you provide (name, work email, organization, optional phone). Submission information about a sample (compound description, material type, lot identifier, quantity, handling and hazard information, requested determinations, and any notes or attachments you supply). Account information if you use the client portal. Analytical records generated by the laboratory in connection with your sample.
3. How information is used
To scope, quote and perform requested analytical work; to communicate with you about that work; to maintain laboratory records required for data integrity and traceability; and to operate and secure the client portal. Information is not sold, and is not used for advertising.
4. Confidentiality and disclosure
Client identity, contact details and internal notes are private by default. Whether a client display name appears on a publicly verifiable certificate is an explicit per-client setting, defaulting to not disclosed. Raw instrument data is never published through public certificate lookup. Disclosure to third parties occurs only with your instruction, or where required by law.
5. Public certificate lookup
The public verification page returns only certificate content that has been approved and issued: certificate number and version, product and batch identifiers, dates, the determinations reported, the overall disposition, public notes, and the approved client display name where the client has permitted it. It does not return contact information, internal notes, or raw data references.
6. Retention
Analytical records are retained for a period configured by laboratory management and stated in the engagement documentation. Retention terms applicable to your work are available upon request. [Placeholder — specific retention periods to be confirmed by counsel and set in administrative settings.]
7. Security
Access to laboratory records is role-based and authenticated. Client users can access only records belonging to their own organization. Storage of certificate PDFs, raw data and submission attachments is private by default.
8. Your choices
You may request access to, correction of, or deletion of contact information we hold about you, subject to record-integrity obligations that prevent alteration or deletion of issued analytical records. Requests can be made through the contact page.
9. Changes to this notice
This notice may be updated. Material changes will be reflected on this page with a revised effective date.
